Tenancy Agreement Generation form

 

 

    YAB Staff complete this form to generate a tenancy agreement. The agreement and certs will be automatically emailed to the tenant, YAB and the landlord will be emailed basic tenancy details. Use the Office tablet to complete the form as you will need to request the tenant(s) to sign the online form and attach the certs from onedrive.
    Please ensure you have the following before proceeding:
    Completed Landlord Property takeon form, gas, EICR and EPC Certs, meter readings, Tenant ID, check in inspection and property keys.

    Pre Checks

    a) Property Take on Form:


    Landlord MUST sign a new property take on form each time there is a change of tenant

    b) Landlord Informed:


    Landlord MUST be informed that a tenant is moving, but DONT share tenant’s name, email or telephone number.

    c) Right To Rent Check:


    Tenant(s) MUST provide ID or they cannot move in, send this link to the tenant so they can upload their ID Tenant ID Request Form | Yorkshire Accommodation Bureau


    d) Inform Energy suppliers:


    Help the move needs to be completed before the tenant moves in or the utility bills wont be updated – use this link Helpthemove | Dashboard

    e) Property Keys:


    Obtain the keys and ensure they have a key tag and allocated a YAB ID number. If making additional copies ensure landlord charge is made and that landlord informed

    f) Rent and Deposit:


    The rent should be paid via banks transfer (as YAB wont incur any bank processing costs, last resort is that they can pay via using this link Payment Online | Yorkshire Accommodation Bureau into the correct YAB rental and deposit accounts

    g) Property Check-in Inspection:


    The inspection is critical as it confirms tenant is ok with the condition and YAB has valid meter readings at start of the tenancy– use this link to book a check-in inspection Inspection Request Form | Yorkshire Accommodation Bureau

    h) Meter readings:

    2. Compliance Certificates:


    A property available for renting must have a valid EPC certificate with a minimum rating of E. Please contact certs@yabltd.com to organise a 10 year certificate







    It is a legal requirement to have a valid gas safety certificate which MUST be provided to the tenant beforehand. Please email certs@yabltd.com requesting a 12 months gas cert for this property



    The property needs a valid EICR electrical cert to enable it to be rented out. Email certs@yabltd.com that an electrical cert is needed; the certs department will liaise with the landlord to arrange the cert
