Has a tenant absconded or not provided a forwarding address?

Yorkshire Accommodation Bureau LTD (YAB) has been established for many years and work in partnership with high court enforcement officers. We know it is dissapopinting in the exceptional circumstances where tenants owe rent and do not provide a forwarding address. 

This service can be provided to all landlord regardless of if we manage thier property. The service will allow us to complete the first step when chasing monies owed.

Steps when chasing debt

1. Find tenants new address (TRACE SERVICE) 2. Complete money claims on line (separate service) 3.If still not resolved then we escalate and complete a County Court Judgment (separate service)

Who are DCBL and what can they offer?

DCBL are high court enforcement officers who we use and they have the ability to investigate debtors and contact them swiftly using state of the art computer software and experienced investigators in the field. They basically can complete step 1 from above.

Merging several databases and using state of the art equipment along with a highly skilled workforce, we are able to track down an individual using very little information. Any detail you can give us will help massively in locating the missing person. For example, an old or current mobile number, Landline, D.O.B, National Insurance number and previous addresses assist in giving us a clear indication of their location. We call this method electronic footprints.

There will be an initial trace conducted and the result should be within 10 days, on the result of a successful trace you will be updated immediately. If the trace is unsuccessful it will automatically be place on a 12 month tracker which will be pro-actively monitored. We will be informed in real time if the individual makes any new activity and if a new address is located we will inform you straight away in order for you to take action in the shortest time possible.

The cost of the Trace is £96+VAT (we get charged £80 plus VAT but do not disclose to anyone). This cost covers our payments to have access to the required databases we utilise.

How to inform landlord of service

If you are in the above situation, have a conversation with the landlord and ask them what their intentions are of the tenant who has absconded/owes rent. If they state they want to claim all monies owed (this can be the rent plus any damage to the property) then inform them that we work in partnership with high court enforcement officers who offer a trace service and you can email them over with additional information. In a nutshell, they have the ability to investigate debtors and contact them swiftly using state of the art computer software and experienced investigators in the field. 

 

Tell them you will email them across with more information and you can copy and paste the below message – WE MUST HAVE WRITTEN AUTHORISATION FROM THE LANDLORD TO PROCEED

Further to our recent conversation, please find below details to our trace service. If you are interested in the service please email debtors@yabltd.com confirming you would like to proceed with this along with confirmation of how you wish to pay i.e. please select one of the options at the bottom of this email.

If the property is managed with YAB we will check all documentation on file however should you feel you have any information that may help then please do send this across to debtors@yabltd.com. Please could you select ONE of the below options and reply via email to debtors@yabltd.com within 14 days so that we can action the above on your behalf straight away and start the process of claiming all the outstanding monies owed to you. 

1) That you approve YAB to undertake the trace service at total cost of £115.20 inclusive of VAT and you will make online payment by clicking here quoting your property house no. post code as the payment reference. OR
2) That you approve for YAB to undertake the the trace service at total cost of £115.20 inclusive of VAT and authorise payment to be deducted from the any rent received (so long as your rental account is in credit or the works will not be authorised). OR

3) That you approve YAB to undertake the trace service at total cost of £115.20 inclusive of VAT and wish to pay by cash upfront and will attend the YAB office to pay”.

 

How to Action Once Landlord Authorises

Once the landlord authorises:

1. Email them back to acknowledge their email. Create a subfolder in r drive property folder called “Trace Service” and save the landlord email authorisation in this along with all tenants documents we have (if we managed the property will have all information from move in and if they are not a managed property lld needs to provide us with as much information as possible i.e. an old or current mobile number, Landline, D.O.B, National Insurance number and previous addresses.

2. Visit webpage https://dcbltd.com/debtor-tracing-instruction-to-trace/ and fill out all four areas of the form with as much information we have on file and submit the form.

3. It will ask for payment once you have submitted the form. Ask any senior staff member who will be able to assist. 

4. Once payment has been accepted DCBL will email us with receipt. Save to the subfolder you created in R drive.

5. Email landlord with confirmation you have actioned the trace service:

 

Email subject line – Property address followed by trace service and todays date

“Dear Landlord,

Hope all is well.

Please accept this email as confirmation the trace service has been actioned and I will provide a further update within 10 days time “

*Save this in the subfolder in R drive you created.

6. Add to openview calendar to check status in 10 days time as DCBL will email us within 10 days if they find a address. If they do not then as previously stated will be pro actively monitored for 12 months and you will need to add a reminder to the calendar every 2 weeks for 12 months to check status and update landlord.
